Position Overview
The Senior Producer serves as the overall production lead for large-scale corporate meetings, conferences, and special events. This leadership role combines client management, project management, technical production, budgeting, and team leadership to ensure every event is executed successfully from concept through completion.
The ideal candidate is an experienced live event professional who can confidently meet with clients, understand their vision and objectives, develop comprehensive production solutions, and lead cross-functional teams through every phase of the event lifecycle.
Travel throughout North America is required for client meetings, site visits, and on-site event management.
Requirements
Primary Responsibilities
Client & Pre-Production
Meet with clients to understand event goals, technical requirements, budgets, and production expectations.
Develop detailed production proposals and itemized cost estimates.
Recommend creative and technical solutions that enhance the client experience while remaining within budget.
Build and maintain strong client relationships throughout the planning process.
Production Planning
Create detailed equipment inventories and production documentation.
Develop project schedules and production timelines.
Coordinate staffing plans for internal employees and freelance crew.
Work closely with Project Managers, Technical Managers, Warehouse staff, and vendors to ensure project readiness.
Manage equipment logistics, trucking schedules, travel arrangements, and rental equipment procurement.
Coordinate venue site visits and production planning meetings.
Event Execution
Serve as the on-site production lead during live events.
Conduct client meetings and production briefings throughout the event.
Direct production crews, department leads, and freelance personnel.
Oversee installation, rehearsals, show execution, and strike.
Troubleshoot technical and logistical challenges while maintaining exceptional client service.
Ensure projects remain on schedule and within budget.
Post-Production
Review and approve crew timesheets, freelancer invoices, rental invoices, travel expenses, and trucking charges.
Reconcile project budgets and document all client change orders.
Conduct project wrap-up reviews and ensure all production documentation is complete.
Work Environment
The Senior Producer typically manages multiple projects simultaneously, with work divided approximately as follows:
75% Pre-Production
15% Live Event Production
10% Post-Production
Although supported by Project Managers, Technical Managers, Warehouse personnel, and Executive Leadership, the Senior Producer is expected to drive each project forward by managing priorities, maintaining timelines, solving problems proactively, and ensuring every detail is successfully executed.
Qualifications
Required
Extensive experience producing large-scale corporate meetings, conferences, keynote sessions, and multi-breakout events.
Strong project management experience with multiple concurrent projects.
Advanced knowledge of professional audiovisual systems, including audio, video, lighting, staging, and presentation technologies.
Experience developing production budgets, equipment specifications, and client proposals.
Exceptional client relationship and customer service skills.
Outstanding verbal and written communication skills.
Proven leadership experience managing employees, contractors, and freelance production crews.
Excellent organizational, time management, and problem-solving skills.
Ability to remain calm and make sound decisions under pressure.
Strong attention to detail and a sense of urgency.
Proficiency using Vectorworks to create keynote, breakout room and technical AV layouts
Proficiency with Microsoft 365 (Outlook, Word, Excel, and PowerPoint).
Ability to travel extensively throughout North America.
Preferred
Experience with Flex equipment management software.
Experience producing webcast, broadcast, and hybrid events.
Existing industry relationships and a client network capable of generating new business opportunities. Opportunity to earn commission for new clients and business generated.
