Description

The Quality Care Health Foundation is looking for a dynamic meeting planner to play a central role in developing a variety of small-setting educational programs and trainings specifically for long-term care professionals in California. This specialist will manage all facets of meeting preparation and on-site operations and work collaboratively with the team to identify timely topics and subject matter experts.

PRIMARY RESPONSIBILITIES:

  • Collaborate with subject matter experts to identify timely topics, create curriculum, and line up speakers.
  • Develop annual educational calendar of offerings.
  • Plan variety of programs in different formats: in-person and virtual trainings, webinars, workshops, and conferences.
  • Handle all aspects of meeting planning including site selection, contracting, and negotiating with hotels for room block and meeting space needs.
  • Provide on-site management and registration for events.
  • Handle speaker logistics: prepare speaker agreements, and coordinate travel, class outlines, materials, and audio-visual needs.
  • Coordinate marketing and continuing education credits.
  • Develop, cultivate, and solicit new and existing sponsors.
  • Prepare budget projections and timely post-event budget-to-actual reports.


Requirements

KNOWLEDGE AND SKILLS:

  • Bachelor’s degree or equivalent combination of education and experience.
  • Minimum 3-4 years of high-volume meeting planning experience.
  • Strong organizational skills, attention to detail, and ability to multi-task.
  • Excellent customer service, interpersonal and communication skills.
  • Experience in negotiating with suppliers and with hotel contracts.
  • Experience with promoting sponsorships desired.
  • Ability to troubleshoot audiovisual and technical equipment when needed.
  • Strong computer skills and high proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint).
  • Ability to develop budget projects and follow-up financial reports.
  • Ability to set and meet deadlines.
  • Statewide travel is estimated at 25% - 50%. Ability to travel alone by air and automobile. Some weekend and overnight travel required.

SALARY RANGE: $55,000 – $66,000 per year

BENEFITS: Medical, dental, 401(k), paid time off (PTO), designated holidays, hybrid schedule.
