Job Summary:

The Special Events Coordinator will be responsible for the support of many key Kellogg School of Management events. This position will coordinate logistics associated with events that span across the school.

This position will play a key role in organizing and execution of key events. The Coordinator will be primary responsible site research, vendor coordination, maintaining and updating planning documents.

The Special Events Coordinator will work with the Special Events team along with key stakeholders within Kellogg to ensure established Event SOPs are instituted and followed within the planning process.

Specific Responsibilities:

• Coordinates across the Special Events team to manage one or more portion of programs and/or events which may include coordinating with event leads on theme, timing, venue, speakers, etc.; assist in developing materials such as programs, emails, invitations, etc.; processes and maintain information, registration and/or databases; assist in researching and scheduling details such as venue, space, caterers, musicians, photographers, audiovisual and technical requirements, etc.; prepare event plans and summaries for event owners;, etc.; manage vendors in accordance with Kellogg’s vision for the event. Requires on-site presence at various events.

• Develops, manages and maintains team project plans and priorities for marquee events. This position requires a high level of organization, management and execution behind key events. Thoughtfulness will have to be given to the many details.

• Leads and manages several smaller Kellogg events such as Lavin Bernick Executive chats and Kellogg Networking Nights.

• Creates and maintains the Special Events Annual Calendar. Coordinates with internal stakeholders to keep updated. Annual pulls data regarding events. Maintain and manage Kellogg Venue Catalog.

Minimum Qualifications: (Education, experience, and any other certifications or clearances)

• A Bachelor's degree; or the equivalent combination of education, training and experience from which comparable skills can be acquired;

• Entry level position with proven proficiencies that include coordination, event planning and project management responsibilities;

• Demonstrated ability to work both independently and cooperatively with other staff

• Ability to set priorities and meet deadlines;

• Effective verbal and written communication skills;

• Outstanding organization, multi-tasking, and detail-oriented skills;

• Ability to work effectively in a fast paced, changing environment;

• Exceptional customer service skills;

• Strong project management skills;

• Excellent computer skills (especially in Microsoft Office);

Preferred Qualifications: (Education and experience)

• Software Required:

• Working knowledge of Zoom

• Working knowledge of MS Office suite (Word, Excel, PowerPoint, Outlook)

• Working knowledge of Google docs

• BaseCamp, Smartsheet specific software preferred but not required

• Reliable high speed internet access is required when working remotely

• Familiarity with web-based registration platforms (Eventbrite, Cvent)

Target hiring range for this position will be between $53,205.75 - $65,000 per year. Offered salary will be determined by the applicant’s education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
