- This position is an on-site position which requires the incumbent to complete their work primarily at an NAU site, campus, or facility with or without accommodation. Opportunities for remote work are rare.
- This position is posted as Events Coordinator, Intermediate - Student Organizations, which is a working title. The NAU system title for this position is Events Coordinator, Intermediate.
- Driving a vehicle on behalf of the university is anticipated to be a regular part of this position. Arizona Administrative Code Fleet Safety Policy requires all employees who drive on university business become authorized by submitting Driver's license information for driving record monitoring, and completion of training appropriate to the level of driving performed. The law applies to all faculty, staff, and students who drive personal or university-owned motorized vehicles for any business purpose. About the Department/College
Unions and Activities, reporting under Campus Services and Activities, strives to offer the finest services and amenities for the students and visitors of Northern Arizona University through providing access to a variety of student services, being a hub for student support departments. Unions and Activities serves as the central hub for campus engagement, overseeing and supporting a wide range of events and programs that enrich student life. The department manages operations for key campus venues, including the University Union, University Union Field House, duBois South Union, Prochnow Auditorium, and other event spaces across campus. Unions and Activities is also home to SUN Entertainment and Yellow Bike.
About the Position
This position serves as the primary contact for student clubs and organizations hosting on-campus events. Responsibilities include providing guidance on event planning, logistics, marketing, and compliance with university policies. The role promotes access to financial and logistical resources, fosters partnerships between student organizations and campus departments, and ensures proper coordination with appropriate processes and procedures.
Additional duties include supporting summer camps and conferences, assisting with campus-wide events, and collaborating with departments to enhance student engagement. The position maintains event calendars, updates website content, and provides administrative support for funding processes. By building strong campus relationships and supporting diverse programming, this role contributes to a vibrant and inclusive campus community.
Responsibilities Include
50% - Event Planning & Student Organization Support
- Serve as a single point of contact for on-campus events being presented by student clubs and organizations including weekly meetings and large events with external participants.
- Serve as an event planning resource to provide assistance and guidance to student organizations in planning and executing events including event logistics and marketing.
- Help promote access to financial and logistical resources for student organizations by identifying available opportunities and initiating connections with the campus community.
- Help foster partnerships between student organizations and university departments to enhance event visibility, collaboration, and attendance.
- Coordinate with NAU Contracts and Purchasing Services and other support offices to ensure compliance with contracting, insurance, and other logistical requirements.
- Become proficient in the campus event management software (EMS) and student organization request software (True Blue Connects).
- Work closely with Leadership and Engagement to support and foster participation in student organization meetings and events.
15% - Summer Camps & Conferences Support
- Support on-campus events contracted through the NAU Summer Camps and Conference planning group.
- Serve as a liaison with NAU Facility Services for external clients to ensure smooth execution of on-campus summer events.
- Work closely with internal event planners during the summer months to provide access to campus resources, record and track utilization, and charge appropriately for services.
15% - Departmental Collaboration
- Collaborate with other departments to support student organization events.
- Assist in marketing and promotional efforts for student organization events.
- Serve on collaborative planning committees involving students, faculty, and staff to support university-wide initiatives.
- Build and maintain strong working relationships across campus to enhance student engagement and event success.
10% - Administrative Support
- Coordinate with Campus Event Office staff to maintain the NAU event calendar.
- Assist in updating and managing Campus Services & Activities website content.
- Provide administrative support for student organization events and funding processes.
5% - Department Liaison
- Support campus wide events on campus, including Welcome Week, Family Weekend, Homecoming, Earth Jam, and other events, as needed.
5% - Other
- Perform additional responsibilities as needed to support student engagement, campus programming, and the Campus Services and Activities department.
Minimum Qualifications
- Associate or bachelor's degree
- 2 years of relevant experience
*A combination of related education, experience, and training may be used as an equivalent to the above Minimum Qualifications.
Preferred Qualifications
- Valid AZ Driver's license.
- Experience with event planning and coordination.
- Experience working with college students.
Knowledge, Skills, & Abilities
- Knowledge of event planning principles, logistics coordination, and compliance requirements.
- Familiarity with university policies, contracting, insurance, and purchasing processes.
- Proficiency with event management and student engagement software (e.g., EMS, True Blue Connects).
- Strong organizational skills for complex events.
- Excellent written and verbal communication skills for student organization engagement.
- Ability to build and maintain collaborative relationships with students, staff, and external partners.
- Advanced problem-solving and decision-making skills in dynamic environments.
- Ability to represent the department and university professionally.
- Flexibility to work evenings, weekends, and adapt to changing priorities.
- Commitment to fostering inclusive and engaging campus experiences.
Compensation
- Salary range begins at $44,422. Annual salary commensurate with candidate's qualifications and related experience.
Pre-Employment Check
Northern Arizona University requires satisfactory results for the following: a criminal background investigation, an employment history verification and a degree verification (in some cases) prior to employment. You may also be required to complete a fingerprint background check. Also, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States.
This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting. Notice of Availability of the Annual Fire and Security Report
Each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities.
